What is a stewardship report?

A stewardship report tells one donor what their gift did this year. For a scholarship, it introduces the students the gift supported. For an endowed fund, it also shows the fund's value, the year's payout, and what the payout paid for. Many advancement offices call it an impact report or an endowment report. The job is the same: show the donor that the gift worked.

The download includes a finished example for an invented donor, Diana Castle, and the Castle Fellowship in Aligned AI at the Ovrture Institute of Technology. Every name and figure in it is made up. Here is how three of its sections read:

Opening letter. Dear Diana, In its first year, the Castle Fellowship supported two doctoral students in aligned AI. One of them, Marcus Webb, published his first paper as lead author in March. I want you to hear about it from me before you read it anywhere else.

Three results. Two fellows funded this year. Ana Ruiz presented her first research at an international conference in June. One paper published, with Marcus Webb as lead author.

Financial summary. On June 30, 2026, the Castle Fellowship endowment was worth $1,180,000. This year it paid out $47,200, which covered the full research stipend for both fellows.

How to write a stewardship report donors read

  1. Write to one donor. Use their name, their fund, and the reason they gave. A report that could go to anyone reads like a form letter.
  2. Open with a person. Introduce the student or patient before the numbers. The donor gave to help people, so show them one first.
  3. Count what people did. Classes taken, patients seen, performances given, papers published. A donor can check a count. A description asks for trust.
  4. Keep the money plain. One small table. Explain the payout in one sentence.
  5. End with the next conversation. Invite the donor to visit, meet the fellow, or hear what the fund could do next.

Send each report at the same time every year, so the donor learns when to expect it.

When a template stops being enough

A template works well for a handful of funds. With hundreds of named funds, assembling each report by hand takes weeks, and the busiest season pushes reports late.

Ovrture turns the data in your CRM into a personal website for every major donor, from the report that honors one gift to the proposal that asks for the next, at a scale any team can carry.

Pair it with the proposal template

The report shows a donor what their last gift did. The proposal asks for the next one. Our free major gift proposal template picks up where this report leaves off, and its example continues Diana Castle's story.

Questions

What is a stewardship report?
A stewardship report is a yearly report to one donor about what their gift accomplished. It usually includes a personal letter, a story about someone the gift supported, specific results, and, for an endowed fund, a financial summary.
What should a donor impact report include?
A personal opening, a summary of the fund, one story about a person the gift supported, three specific results, a financial summary for endowed funds, a look at the year ahead, and a named contact.
How often should you send a stewardship report?
Send one every year the gift is at work. For an endowed fund, that means every year the fund exists. Choose a set month so the donor knows when to expect it.
Is a stewardship report the same as an impact report?
The terms overlap. "Impact report" often describes a report to many donors about an organization's year. A stewardship report is written to one donor about one gift.
Is the template free?
Yes. Download the Word file. There is no form to fill out.
