01Reporting ROI

How much less does digital reporting cost than print?

  • 43.8% less per report: $141.52 traditional, $79.56 digital, all-in cost across a 1,000-report run.
  • 38% fewer staff hours per run: 1,430 hours traditional, 888 digital, by the source document's own tables.
  • 1,138% three-year net ROI for the digital method, at a five-point lift in donor retention.1
  • 2,439% three-year net ROI for the digital method, at a ten-point lift in donor retention.1

Method

A side-by-side cost model for producing 1,000 personalized stewardship reports across two workflows: the traditional print-based process (list review, story mining, writing and design, printing, assembly, shipping, and follow-up calls) against the digital process on the Ovrture platform (data integration, templated content panels, automated assembly, and analytics-informed follow-up). Both methods are costed against the same blended hourly rates11, loaded 30% for benefits and overhead.

Communications/creativeCommunications Manager$75,000$46.88
Administrative/supportDatabase Manager/Coordinator$65,000$40.63

Assumptions

The source document's own citation for its labor-hour and cost estimates describes them as modeled patterns drawn from Ovrture's multi-year client base, not a measurement pulled from any single institution's books. The same citation separately states that client-specific metrics, unlike these modeled cost estimates, have been independently verified.

Cost estimates, labor hour allocations, and efficiency comparisons represent aggregated patterns rather than data from any single institution. Client-specific metrics have been independently verified and represent documented, attributable outcomes.

The traditional method's shipping line is benchmarked against a published carrier-rate comparison9, the same benchmark this document cites for that cost. Table 1 above is the source document's own Table 1, reproduced here in full, including its own citation gap: one reference note, attached to the Salary column header, covering all five roles rather than one note per role. That gap is the source document's, not an omission introduced on this page.

ROI model

The source document separately models three-year return on investment for the two methods, translating the cost difference above into a longer-horizon financial comparison, for a hypothetical cohort of 1,000 major donors averaging $10,000 in Year 1 giving.1 Table 4 below is the source document's own table, reproduced in full.

Limits

  • The source document's own executive summary once stated three-year ROI percentages that conflicted with its own Table 4 for the identical two retention scenarios. Both were corrected to agree with the table in the document's September 13, 2026 revision. This page publishes the corrected figures directly, in the ROI model above.
  • The same document's own narrative text once stated a different hours reduction than its own tables show for this identical comparison. This was corrected to match the tables in the same revision. This page has used the table figure, 38%, since it was built.
  • The same document also credits its analytics capability with two large gifts, at two different client institutions. Both citations trace to the same modeled, aggregated data source quoted above, not to a documented result at either institution, so neither figure is used here.

02Cultivation ROI

How much less does a major-gift proposal cost through the platform?

  • 67% less per major-gift proposal through the platform.
  • $268 to $551 per-proposal cost, traditional: 5.25 to 11.0 staff hours.
  • $83 to $183 per-proposal cost, digital: 0.5 to 3.5 staff hours, including the platform's own $10,000 onboarding fee and $22,000 annual subscription, amortized to $63 per site across 350 sites a year.
  • $192,500 annual program cost, traditional, needing $2,117,500 in gifts for a 10-to-1 return.
  • $43,000 annual program cost, digital, needing $473,000 in gifts for the same 10-to-1 return.

Method

Ovrture's own three-part cost model: human capital, materials and platform, and delivery, comparing a traditional print-based major-gift proposal to a personalized digital proposal on the platform. The per-unit model sits on top of a shared upfront investment common to both methods.

Table 1, source document. The shared foundational investment, model-agnostic.

Human capital cost$220.50 to $471.00$20.00 to $120.005.25 to 11.0 hours versus 0.5 to 3.5 hours of staff time.
Materials/platform cost$2.50 to $5.00$63.00Print material cost versus amortized annual platform fee, 350 sites a year.
Delivery cost$45.00 to $75.00$0.00Premium overnight shipping18 versus cost-free digital delivery by email.
Total all-in cost per proposal$268.00 to $551.00$83.00 to $183.0067% reduction per unit.

Assumptions

The source document's own citation for its cost estimates and labor-hour allocations describes them the same way as the reporting analysis above: modeled patterns across the client base, not a single institution's measured costs. The annual figures also assume 350 solicitations a year and a 10-to-1 return, both modeling choices, not universal facts.

Cost estimates, labor hour allocations, and efficiency comparisons represent aggregated patterns rather than data from any single institution. Client-specific metrics have been independently verified and represent documented, attributable outcomes.

Reference 3030, O - Cultivating ROI - Draft 2, September 13, 2026, Works Cited.

This 67% figure is derived by averaging the document's own per-unit cost range, Table 2 above: the traditional method averages to $409.50 and the digital method to $133, a 67.5% difference, rounded to the 67% now published in both the document and here. It resolves an internal inconsistency across the document's earlier drafts; the full history is recorded in the document's own review comments, not repeated on this page.

The document's own Works Cited lists external benchmarks for these cost categories without tying any one of them to a specific dollar figure in its tables: consultant-driven proposal costs2, development-staff salaries6, print production9, and shipping18. These are background context for the cost categories, not the document's own citation for the $268 to $551 and $83 to $183 figures above, which it does not individually cite. Three of the document's Works Cited entries are not reproduced here: one (its own Reference 1, unrelated to any figure in this table) does not trace to any locatable source, and two (References 31 and 32) carry no URL and cannot be independently checked.

Limits

The source document's executive summary also states a donor-response improvement multiple and a total additional-gift figure, both uncited within the document itself. Neither has appeared on this site since September 4, 2026, and neither appears here.

03Digital vs. print

What's the actual difference between a digital report and a printed one?

  • 6 to 9 months typical lead time before distribution, traditional method: planning, list review, and the approval cycle.
  • 2 hours or less to distribute all 1,000 reports by secure link, digital method, once content is assembled.

Method

The same Reporting ROI analysis above, read for its workflow comparison instead of its cost model, across four phases: strategy and data, content creation, production and distribution, and follow-up.

Strategy and data

Traditional: a database manager pulls a preliminary donor list, then gift officers review it by hand before leadership sets the narrative theme and books outside vendors. Digital: donor and fund data comes in through the CRM, and existing photos, videos, and documents load into one shared asset library.

Content creation

Traditional: a multi-department effort. Program staff and gift officers interview beneficiaries for stories, professional writers draft the narrative, and the draft moves through a review cycle spanning program, finance, communications, and leadership. Digital: reusable, pre-approved content panels replace the one-off document, beneficiaries submit stories through a survey tool, and reports assemble in bulk from linked data. A gift officer still personalizes each one by hand before it goes out.

Production and distribution

Traditional: a design firm builds a bespoke layout, a commercial printer produces it on premium stock, and staff hand-assemble and ship each package, at a carrier cost the source document itself benchmarks against a published rate comparison9. Digital: the platform generates a secure link for each donor's report. No printing, assembly, or shipping.

Follow-up

Traditional: a gift officer calls on the hope that the donor has received and reviewed the report, with no way to know in advance. Digital: an analytics dashboard shows who opened their report, how long they spent, and which sections they engaged with, before the call is made.

Assumptions

This is a description of the two workflows as the source document lays them out. It is a modeled comparison, not a client-by-client measurement, the same caveat as the reporting cost analysis above.

Limits

Cost figures for this same comparison are covered in the Reporting ROI anchor above and are not repeated here.
